Verifolio receives certificates of insurance by email — there is no manual data entry.
How it works. Your organization has a certificate intake address (it appears in the renewal reminder emails Verifolio sends to vendors). Any email that arrives there with a PDF attachment goes through extraction: Verifolio reads the ACORD form and pulls out the insured's name, carrier, policy numbers, coverage types and limits, and the effective and expiration dates.
Three ways to use it:
- Forward a COI a vendor already sent you. Keep the PDF attached.
- Give the address to the vendor's insurance agent and ask them to send the certificate directly.
- Let renewal reminders do it — reminder emails ask the vendor to reply with the updated certificate.
After the email arrives. The extraction lands in the Review Queue within a minute or two. It is NOT treated as verified automatically — a person confirms every extraction before it counts (see "Reviewing extracted certificates").
If nothing shows up, check that the certificate was attached as a PDF and that it went to the correct address. Scanned image PDFs generally extract fine; photos pasted into an email body do not.
