Verifolio tracks your vendors' certificates of insurance (COIs) so nothing lapses unnoticed. Here is the shortest path from a new account to a working compliance dashboard.
1. Add your vendors. Go to Vendors and click "Add vendor". Only the name is required — trade, license number, and contact details make search and reporting more useful later.
2. Get certificates into Verifolio. Certificates arrive by email: forward a COI you've received (with the PDF attached) to your organization's certificate address, or have the vendor's insurance agent send it there directly. Verifolio reads the attached ACORD form and extracts the carrier, policy numbers, coverage limits, and effective/expiration dates automatically.
3. Review each extraction. Extracted certificates wait in the Review Queue. Open each one, compare the extracted fields against the PDF, correct anything the extraction got wrong, and confirm. Nothing counts as verified until a person has reviewed it.
4. Set your requirements. Under Compliance, requirement templates define the coverage you demand (for example, $1,000,000 general liability per occurrence with your organization named as additional insured). Vendors are checked against these requirements.
5. Watch the dashboard. The COI Compliance Dashboard shows every tracked certificate with its status — compliant, expiring soon, or lapsed — sortable by expiration date, vendor, or property, so renewals get chased before work starts.
That's the whole loop: vendors in the registry, certificates in by email, every extraction human-reviewed, requirements defined once, and the dashboard doing the remembering.
